Records and Evidence

Responsibilities

The Records Unit processes all paperwork generated by the police department, including reports, citations, arrest warrants and court orders. Records also receives and processes requests for case reports, record checks, and concealed pistol licenses. This unit is the initial contact for most citizens and other agencies requiring information and/or making requests for such.

Please note, if you need to report a crime, call 911 instead of using this portal.

Requests for Police Department Records can be made through an in-person request at the department, through emailing contactus@blackdiamondwa.gov, by mail at P.O. Box 309, Black Diamond, WA 98010, or faxed to (360) 851-4451. If you have any questions, please contact the Public Record Officer Joann Sloss at 360-851-4450 or by email at contactus@blackdiamondwa.gov

Public Records Request

Important things to know about requesting police records:

  • Requests are processed in the order received. Any request received after 4:30p.m. will be considered received on the following business day.
  • There is a charge for copies of public records. Check the current fees for costs that may apply. Methods of payment acceptable at the Police Department are VISA, MasterCard, and checks.
  • We have five business days to respond to requests. Within those five days, we may send the requested copies, deny the request, provide a letter stating more time is required due to volume of requests or legal review. If more time is needed, an estimated date of completion will be provided. (RCW 42.56).
  • Public records are subject to disclosure unless otherwise exempt by law. If this is the case for your request, you will be notified of the qualifying exemptions.
  • Please be advised that if you have entered other requests that are currently open, the Records Division will queue your other requests separately. This means that we will work on only one request for each requester at a time in order to continue providing records to other members of the public.
  • Hours are 8:00 a.m. to 4:30 p.m., Monday through Friday.
